DEPARTMENT: Ray and Joan Kroc Corps Community Center (Kroc Center Hawaii)

SUPERVISOR: Events Manager

FLSA STATUS: Non Exempt

CLASSIFICATION: Full Time, Hourly

POSITION SUMMARY:

The Events Coordinator will be responsible for coordinating and executing a diversity of events at Kroc Center Hawaii including conferences, banquets, parties, facility rentals and special events. The Events Coordinator will work closely with the catering kitchen

and other department at Kroc Center Hawaii. They will be dedicated to provide an exceptional experience at each celebration.

The Events Coordinator will have a deep commitment to the mission of The Salvation Army, which will be evident in his or her professional life and the manner in which he or she represents The Salvation Army Ray and Joan Kroc Corps Community Center in the community.

REQUIRED EDUCATION AND EXPERIENCE:

  1. Bachelors or Associates degree in hospitality management, business, marketing, communications, or a related field; or related experience.

  2. Minimum of two years of experience in events, catering sales or related experience.

  3. Possesses knowledge of food preparation and service.

  4. Excellent customer service skills and interpersonal skills and experience both in person and over the phone.

  5. Must have high standards of quality and work ethic to extend beyond the client expectations.

  6. Problem solving skills a must. Must be able to multitask with the ability to deal and adjust to high levels of stress.

  7. Strong communication skills both oral and written.

  8. Must be at least 21 years old.

Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities will be accepted.

PREFERRED EDUCATION AND EXPERIENCE:

  1. A minimum of 6 months of management and supervisory experience preferred.

  2. Creative marketing experience a plus.

  3. Previous banquet service experience or food service experience preferred.

ESSENTIAL FUNCTIONS:

  1. Assist the Events Manager or serve as Events Manager on Duty (E.M.O.D.) as needed for events scheduled including evenings and weekends.

  2. Coordinate and play a key role in the successful execution of scheduled events working with catering staff and other departments.

  3. As the key point of contact for clients at assigned events, the Event Coordinator must show exemplary customer service skills, etiquette and professionalism.

  4. Assist clients as needed with executing banquet event orders including: food and beverage service orders, coordinating the ordering of supplies and audiovisual equipment, venue layouts, table arrangements, decorations and room set up, etc.

  5. Manage all event details using the appropriate event templates and P.O.S. system working in partnership with the catering kitchen staff.

  6. Supervise banquet and party host staff as E.M.O.D.

  7. Assist Events Manager in staff scheduling and training of banquet and party host staff.

  8. Work with the Events Manager and other departments as needed to help execute Special Events, Member Events and other internal events at Kroc Center Hawaii.

  9. Ensure that all contracts and paperwork are complete, fees collected and liability insurance certificates have been collected as required prior to the commencement of an event.

  10. Collection of fees and monies due for scheduled events as applicable. Adhere to The Salvation Army’s policies and procedures in handling cash and accounting procedures. Assist in the receipt and safe keeping of all cash from each program venue.

  11. Assist Events Manager as needed to conduct tours, host food tastings and network to sell available Kroc venues to prospective clients.

  12. Communicate, work with and assist front desk Member Services staff as needed and cross promote other areas (membership, programs, etc.) of Kroc Center Hawaii.

  13. Assist the Events Manager with various administrative and event management duties including contract management, client follow up and documentation.

  14. Follow and ensure adherence to The Salvation Army Policies and Procedures.

  15. Maintain the Code of Ethics policy, which has been established for the Kroc Center Hawaii.

  16. Attend staff meetings and other administrative meetings.

  17. Maintain regular and punctual work attendance. Available to work a flexible schedule including working most weekends and evenings.

  18. Communicates with members, guests, co-works and the general public using appropriate verbal and written language skills

  19. Perform other duties as assigned.

The position requires sitting; climbing and/or balancing; stooping, kneeling, bending, stretching, crouching and/or crawling; standing; walking; manual dexterity and eye-hand coordination; use of vision; driving a vehicle; pushing/pulling/lifting/carrying 50-75

pounds and occasionally more than 75 pounds. This employee may also be required to work weekends, holidays and evenings.

COMMUNICATION DEMANDS:

The position requires talking to co-workers, clients, vendors; requires written communication to and from co-workers, clients, vendor; talking on the telephone; requires responding to written or verbal requests of co-workers, clients, and vendors; requires

DESCRIPTION OF WORK ENVIRONMENT:

  1. Most work will be indoors at the new Kroc Center Hawaii including but not limited to the banquet and kitchen areas.

  2. Attendance at trainings and conferences, both in Hawaii and on the mainland, may be required. Extensive travel is possible, including air travel, driving long distances, night driving, overnight travel, and extended travel of three days or more.

EQUIPMENT NEEDS:

Equipment used includes general office equipment such as computers, photocopiers, scanners, printers, fax machines, telephone (office, cell, PDA), and 10-key calculator.

CERTIFICATES & LICENSES:

The candidate chosen for this position must have a valid driver’s license and insured transportation.

On an annual basis, employees are required to participate in The Salvation Army’s Fleet Safety Program.
